USE CASE
Automated appraisal.
“Automated appraisal is a critical component of digital transformation, as it enables organizations to manage information in a more effective and efficient way, while also ensuring compliance with regulatory and legal requirements.”
– KMWorld
Why you need automated appraisal
Auto-appraisal is a process of automatically evaluating the value and significance of information or documents also based on predefined rules or criteria.
Auto-appraisal can identify and prioritize information for data protection, retention and disposal, disposition, or other actions, and can help to ensure compliance with regulatory and legal requirements.
High quality fit-for-purpose metadata is the foundation for auto-appraisal. You need to generate the right metadata if you’re going to successfully manage the ever-growing stockpiles of information.
How Synercon can help you
Synercon have developed highly effective methods for accurate and compliant auto-appraisal in SharePoint.
Auto-appraisal Tools
We work with a suite of tools to deliver automated solutions.
a.k.a. software by Synercon simplifies the task of developing taxonomies, thesauri and ontologies for deployment into an auto-appraisal engine. With a.k.a. we codify contemporary records management instruments, business classification schemes and disposal schedules into machine readable formats.
Synercon SuperSaurus enables us to fast track the production of taxonomies, thesauri and appraisal ontologies.
DiscoveryOne Content Enrichment engine for processing autoclassification and auto-appraisal of records across multiple environments and tagging records within the SharePoint.
Percipio RM software by Synercon for processing the disposal of records within the SharePoint environment.
Auto-appraisal Techniques
We’ve developed considerable knowhow on how to deploy auto-classification and auto-appraisal
Our auto-classification models are based on faceted classifications model from which we autogenerate fit-for-purpose metadata, which drives the appraisal process.
We transform disposal schedules and security classification schemes into data models (ontologies) which drive automated appraisal, to tag records with security and disposal metadata.
We employ a rules-based approach to auto-classification and auto-appraisal which is upfront, observable and measurable.
We have developed simple to use techniques for analyzing and measuring the precision and coverage of tagging using tools like PowerBI
We advocate an iterative, measured approach to deployment, enabling benefits to the realised throughout the project.
We integrate with the SharePoint Term Store and Managed Metadata to truly enable the SharePoint search experience.
Auto-appraisal Training
Auto-appraisal is a complex process that requires a combination of domain expertise in taxonomy development and information governance, along with of knowledge of data architecture and information systems.
Synercon delivers integrative learning – education and training that connects the multiple branches of information governance.
Our training programs are designed to facilitate knowledge transfer between disciplines. By incorporating the strengths and lessons learned of each profession, we help you build information governance instruments that are fit for today’s digital environment.

Frequently asked questions
How accurate is auto-appraisal?
The accuracy of auto-appraisal depends on a number of factors, including the quality of the metadata, the complexity of the appraisal criteria, and the effectiveness of the auto-appraisal algorithm or system.
Synercon have developed an auto-appraisal model which uses a technique known as deterministic tagging, where the classification tags are used to determine the disposal classes. A deterministic algorithm is an algorithm that is determined by its inputs, where no randomness is involved in the model.
High quality fit for purpose managed metadata is a prerequisite for accurate auto-classification. When this is achieved, we can achieve accuracy of over 85% for text-based content.
